Enroll in benefits by January 31, 2017

To have benefits coverage on January 1, 2017, you must take action and make your benefits elections through Workday between January 1 and January 31, 2017.

Salesforce is currently going through its annual Open Enrollment. While Demandware employees do not need to go through Open Enrollment, you may want to check out the new benefit programs we’re rolling out for 2017.

Medical

Check to see if your current providers are in the Aetna network. Click here to get started or call 1-888-512-3862. You’ll need to select Provider Type and then select a Health Plan:

 

  • Aetna HMO: Select Elect Choice EPO.
  • Aetna PPO: Select Aetna Choice POS II (Open Access).
  • Aetna HDHP (Premium & Standard): Select Aetna Choice POS II (Open Access).
ASAP Visit www.aetnapharmacy.com/premierplus to see if your prescriptions are on the Aetna list and if they require drug coverage review. You can also call Aetna Member Services at 1-888-512-3862 to get help determining if your drug requires prior authorization and, if so, how to obtain prior authorization. 
December 31, 2016 If you’re currently enrolled in the Health Care FSA and enrolling in the Aetna HDHP with HSA, you must zero out your current Health Care FSA by December 31. Unused health care funds up to $500 or less will carry over to the Salesforce plan and your balance will be available on your Salesforce account by April 30, 2017. If you have health care FSA and elected Salesforce HDHP plan, your carry over balance will go into a limited purpose FSA to use for qualified dental and vision expenses only.
January 31, 2017 Get your dependent’s social security number ready (you will need to enter this in Workday).
January 31, 2017 If enrolling in the Aetna HMO plan, be sure to get your Primary Care Physician’s ID #. Follow these steps to see if your doctor is in the Aetna network: Finding an Aetna Provider.
After you submit your benefits election in Workday If you’re in the middle of a treatment and your doctor is out of the Aetna network, please complete the Transition of Care Form. This form is a request for Aetna to cover your current care at our in-network coverage. It's important to submit the form within 90 days of completing your benefits enrollment for review and approval.

Dental

Check to see if your current dentist is in the Aetna network. Call 1-877-238-6200 or click here to get started. You’ll need to select Provider Type and then select a Health Plan:

 

  • Aetna PPO/DPN: Select Dental PPO/PDN with PPO II.
ASAP If you’re in the middle of orthodontic treatment, you’ll need to provide your initial treatment plan to Aetna. Learn more about Aetna dental plans.

FSA (current Demandware FSA enrollees only)

Last day to submit 2016 incurred health care and/or dependent care FSA claims under the Demandware plan. Unused health care funds of $500 or less will carry over to the Salesforce plan and will be available on your Salesforce account by April 30, 2017.

Note: Participation in the FSA programs requires annual election. The programs do not roll over from year to year.

If you’re enrolled in the 2016 Demandware FSA and enrolling in the 2017 FSA, you’ll have two WageWorks accounts until March 31, 2017.  Use your current Demandware login when submitting 2016 claims.

HSA (current Demandware HSA participants only)

Commuter Transit & Parking Benefit

If you’re currently enrolled in the Demandware commuter program, your commuter transit and/or parking benefit will be migrated to the Salesforce commuter benefit program with WageWorks by December 1, 2016. You’ll continue to receive your current transit and/or parking elections.

There’s no action needed unless you want cancel or modify election(s). To cancel or modify your January 2017 election, log in to your new Salesforce WageWorks account by December 10, 2016.

*You can log into your new Salesforce Wageworks account via www.wageworks.com. Click on “Log In/Register” and then “Employee Registration”. Follow the system prompts to complete registration.

January 10, 2017 If you’re not currently enrolled in the program and want to enroll, complete your commuter transit and/or parking election through WageWorks by the 10th of the month for your transit/parking pass to be active for the following month.

Supplemental Life Insurance

Your current voluntary life insurance election will not transition to Salesforce. You must complete your voluntary life elections during your initial enrollment to get coverage. When you enroll, be sure to enter your beneficiaries in Workday.

During your initial enrollment, you can take advantage of the Guaranteed Issued (GI) for Employee Life up to $750k and for Spouse Life up to $100k. Anything over the GI is subject to medical underwriting.

Leaves of Absence

You’ll continue to report your leave and/or disability to Cigna until December 31, 2016. You can call Cigna’s toll-free number at 1-888-842-4462 or 1-886-562-8421 (Español).

A transitional policy is under review for employees who would have been eligible for Demandware’s Sabbatical Program in 2017. More information to come.

Sabbatical

Salesforce’s Sabbatical Program provides U.S. employees with one week of unpaid sabbatical for each full year of employment. You can take it as a week per year or bank it and take it in larger amounts at a later date.

Employees who would have been eligible for Demandware Sabbatical Program (through December 31, 2017) will be given the opportunity to request sabbatical and be paid per the Demandware original policy. You must take and complete your sabbatical by December 31, 2018.

Employee Costs

We recognize that some of Salesforce's employee contribution costs are higher than Demandware. We are currently looking at a transition solution to provide a one-time support for eligible employees. More information to come.
